We Should Talk! As an
Administrative Assistant , you will play a vital role in supporting the smooth operation of the school by handling a variety of administrative and office management duties. Working closely with the Office Manager and/or Program Director, you will help ensure that all administrative functions are carried out efficiently, accurately, and in a manner that supports staff, students, and families.
‖ Responsibilities Include: - Assisting with receptionist and front office functions, including answering and directing phone calls, arranging conference calls, welcoming and directing visitors, and ensuring all interactions are professional and welcoming.
- Handling incoming and outgoing mail processes, including receiving and routing courier packages, distributing internal mail, and preparing outgoing correspondence, email, and faxes in a timely manner.
- Supporting the ordering, stocking, and maintenance of office and school supplies, ensuring resources are available and equipment remains in good working order.
- Copying correspondence, reports, and other materials as needed to support school operations and instructional needs.
- Organizing and maintaining school and office files, ensuring documents are accurate, accessible, and stored according to policy and compliance standards.
- Coordinating special projects such as employee mailings, distributing flyers, and preparing student or parent communications to ensure timely delivery of important information.
- Completing administrative tasks and functions assigned by the supervisor to maintain efficient and effective school operations.
- Preparing reports, records, and documentation—including accounting, personnel, student, and operational data—accurately and in accordance with established deadlines.
- Participating in school functions, events, and activities, providing administrative support to staff, students, and visitors as needed.
- Assisting with additional responsibilities or projects as assigned, maintaining flexibility to meet the evolving needs of the school community.
‖ Qualifications Required: - High school diploma or equivalent with passage of basic skills test.
- Minimum 1yr prior experience working in an administrative support role, preferably in an education program setting.
- Prior experience and/or highly proficient in reading, writing, analyzing and interpreting detailed reports and business correspondence.
- Prior experience and/or knowledge in record keeping and/or data management including development and maintenance of databases and/or spreadsheets.
- Prior experience and/or knowledge in special education services, particularly for students with autism related disabilities and/or behavior challenges preferred.
- Proven ability to effectively prioritize tasks and meet deadlines while maintaining organization and attention to detail.
- Ability to think and act quickly and calmly in an emergency and make independent decisions.
- Ability to effectively present information and respond to questions from groups of staff members, students, parents, external partners and the general public.
- Solid motivational skills and willingness to be flexible and adapt to changing priorities and new initiatives.
- Advanced oral and written communication, organization, conflict resolution, multitasking, problem solving, and decision-making ability.
- Well-versed in the use of relevant technology including experience with computers, Microsoft Office Suite, database entry and basic office equipment.
