Your Role:  Document Control Specialist

Ampirical’s Engineering Program Management Office, PMO, is seeking a Document Controls Specialist II, DCS, to support project coordinator for our electrical engineering teams providing power delivery in all regions of the United States. Our engineering teams provide power delivery designs for the Electrical Utility Energy Sector. Our clients are Independent Power Producers, Public Utilities, Municipal and Cooperative Utilities, Department of Energy Utilities, developers, construction contractors and most industrial clients requiring medium voltage and high voltage electrical engineering. Currently our teams are positioned in California, Idaho, Georgia and our Head Quarters is based in Covington Louisiana. 

This position will be in support of all groups the PMO supports, but the location is for Covington, Louisiana. This position is an integral member of the engineering project team working closely with Project Management, Production, and Project Services within our client's Project Management Office. The DCP is responsible for supporting, organizing, and controlling project activities for the Project Manager and Engineer Discipline Lead. The ideal candidate will have knowledge of contracts, expenditures, subcontractors, documentation standard of care and the ability to juggle multiple priorities and interruptions

What You’ll Do:

  • Tracking and reporting on project deliverables and milestones on multi-discipline complex projects.
  • Working closely with all levels of management and disciplines/departments; and coordinating & communicating relevant project information to the team.
  • Providing high level coordination/administrative and analytic support to Project Managers.
  • Assisting with scheduling deadlines and maintaining project deliverables schedules for multiple projects.
  • Tracking project changes.
  • Assisting with subcontractor/vendor process.
  • Acting as liaison between Project Manager and clients as required
  • .Maintaining project folders and ensuring document/record transfer information and records retention requirements.
  • Attending project meetings (internal or with client) at the Project Manager’s discretion.
  • Documenting and following up on important actions and decisions from meeting.
  • Following a company quality control and documentation process established for project engineering.
  • The EDS is knowledgeable with stamping procedure standards and regulations as it pertains to engineering project documents.
  • Responsible for ensuring accurate and consistent project data management through possessing knowledge of the processes, practices, and tools of data management.
  • Professional communication skills are necessary when called upon to represent the projects interfacing with internal and external stakeholders and reviewing projects with customers.
  • Creating and maintaining project related logs, composing correspondence, preparing, and monitoring reports, and monitor progress. 
  • Writing and disseminating work plans and project documents, including procedures, project change orders and progress reports and presentations
  • Executes and creates procedures to ensure project deliverables are adhering to company standards, document numbering schemes and accurate document preparation. 
  • Proactively provides support to management and coordination to ensure project deliverables are being met and completed on-time. 
  • Responsible for planning and attending project meetings that include each discipline while taking critical notes for the Project Manager that will be distributed to the attendees after the meeting. 
  • Initiates and maintains continual updates to the projects Action Item List, Agenda, Communication Plan, Contact List, and Risk Register.
  • Create files in Document Management System while adhering to consistent standards.
  • Stamp, transmit and track engineering documents and deliverables utilizing project communication by following customer procedures and guidelines.
  • Performs quality control checks for all project related document packages prior to their submittal/transmittal to ensure documentation is in accordance with procedures.
  • Utilize SharePoint site files and forms as needed to create work efficiencies for project use.
  • Maintains stamp folder and documentation for all electronic stamps procedures and regulations including stamp creation and verification.
  • Handling intake, scanning, verification, repro, and storage of documents (ex: QC markups, archiving, etc).

What You Bring:

  • Three (3) to Five (5) years of applicable experience.
  • Advanced analytical and problem-solving skills.
  • Intermediate to Advanced Microsoft Office Suite skills.
  • Strong attention to detail.
  • Individual should be inquisitive, proactive, self-motivated and detail oriented. Ability to work independently and as part of a team.
  • High School Graduation or equivalent industry related experience
  • Associate and bachelor’s degrees are commonly accepted work in this position, and applicants should be encouraged to apply with these degrees. Our industry is highly complex and technical.
  • Experience with MS Project, MS Visio, Document Management Software.
